Oral Medicine Coordinator/ Administrative Assistant

The Department of Dentistry at Sunnybrook is seeking a motivated, task oriented individual with exceptional interpersonal and communication skills to manage our oral medicine and pathology practices. We are a multi-doctor (generalist and specialist) practice and an academic centre providing educational experiences for a variety of undergraduate and post-graduate students. This is a full time position.

Qualifications include:

  • Dental or Medical Office Experience with a minimum of 3 years recent consecutive experience in a hospital, medical or dental setting
  • Diploma from a recognized office administration program an asset
  • Excellent verbal and written communication skills
  • Strong multi-tasking and time management skills, attention to detail and ability to prioritize activities
  • Excellent interpersonal skills and telephone etiquette
  • Must be able to work co-operatively with all members of the team
  • Proficiency working with ABEL Dent or similar dental or medical software
  • Must have excellent working knowledge of Microsoft Office (Outlook, Word, Excel)

Duties include:

  • Triage and book referrals
  • Communicate with referring doctors’ offices, patients and pharmacies
  • Respond to all telephone and email inquiries in a timely fashion
  • Arrange consultations with other services as requested
  • Print, mail and file dictated reports
  • Manage paper charts for the clinicians
  • Organize OHIP billings for billing clerk
  • Prepare and send patient invoices
  • Arrange teleconference consultations as needed
