Position Summary
Scheduling and Systems, Enrolment Services
Temporary Contract (September 2019 - March 2020)
 
 
Systems and Special Projects Officer acts as the primary Enrolment Services contact for any Special Projects within the Student Information System with concentrated focus on any business process that connect with student data, such as Records & Registration processes, either as required by Enrolment Services or as part of any team assembled to implement product and business process, and subsequently to ensure proper updates and maintenance to the modules. This position works closely with academic schools and other department functional leads to gather and develop detailed business requirements, translate them into functional specifications, prepare test plans, and facilitates training. The incumbent must be fully versed in business processes ranging from scheduling, registration, to academic school business processes. Furthermore, the incumbent provides student system support for all Enrolment Services cyclical activities, such as participating and coordinating each registration cycle including start and end of term processes that prepares the Student Information System for web registration.
Responsibilities
Special Projects
  • In conjunction with any special projects or as part of any system upgrade or development activity, develops specification documents, system test plans and testing, simulations and related activities to test and verify new / modified processes vs. existing processes affecting the Student Information System i.e. student on-line services
  • Conducts analyses of diagnostic/test data to determine functionality with confirmed, established rules of enrolment – verifying system controls and rules that could impact Enrolment Services processes
  • Provides input/recommendations to resolve systems inefficiencies and ensure successful outcomes
  • Documents current business processes, documenting user requirements in detail
  • Prepares business requirements for any new process identified and develops business process analysis mappings and workflow
  • Recommending based on business requirements and user experience possible solutions and changes to business processes (i.e. new web registration re-engineering)
 
Enrolment Services and College Community Support
  • Support system cyclical activities such as: start and end of term processing, preparing the system for web registration, fee statement printing, graduation, and any other Enrolment Services critical term related processes
  • AIS support for day-to-day operations and provides support in any system upgrade required
  • Responsible for ensuring communication to the college community as it relates to the functioning of the AIS
  • Provide support to academic schools as it relates to AIS (Native Banner and Online Services) and reporting solution (AismartR)
  • Communication to the college community as it relates to the functioning of the AIS and cyclical activities 
  • ES liaison with user departments on business requirements, priorities, timelines, deliverables, issues and reporting requirements
 
Training and Support
  • Provide training and support in key areas of ES and College community as it relates to native AIS, reporting solution, and on-line student services
  • Ensures all training documents are updated to reflect any new system upgrade or process re-engineering
Qualifications
  • Three-year diploma/degree in such disciplines as Business, Marketing or Business Information Systems
  • Minimum 5 years of work experience in a post-secondary education environment working with an integrated student information system in the capacity of gathering and developing detailed business requirements, translating them into functional specifications, preparing test plans, and facilitating training.
  • Demonstrated knowledge and understanding of the overall Enrolment Services’ office functions, goals, objectives, activities, policies, procedures, and guidelines
  • Formalized training in Project Management and/ or demonstrable skills in Project Management tools and methodology
  • Working knowledge of PC software and integrated student information database systems such as Academic Information System, Windows, Microsoft Word, Excel, Internet, and College websites
  • Proven knowledge and understanding of online applications and workflow (for example Centennial’s day school web registration system)
  • Formalized training in Business Process Re-engineering and knowledge of PLSQL would be assets
  • Proven problem-solving/analytical skills with a keen sense of accuracy and attention to detail
  • Ability to learn independently with strong initiative and flexibility to adapt and work with new processes and changing technology
  • Demonstrated organizational and project management skills
  • Ability to work with minimal supervision and deliver quality work in a high volume/pressure office; flexibility to effectively handle multiple tasks with concurrent/conflicting deadlines
  • Communication and customer service skills to obtain/provide information and sustain a customer focused environment
  • Experience, knowledge and understanding of working effectively in a diverse environment

Salary Range $36.78 - $42.64 per hour (Payband J)
