Under the direction of the Manager for Scheduling, the incumbent is responsible for analyzing and interpreting detailed data for making decisions necessary to produce computerized faculty, program, room and student timetables for over 150 Post-Secondary programs at five (5) Centennial College Campuses.
 
The incumbent also undertakes the analysis of student records according to individual student’s specific curriculum and register students into courses. The incumbent is also responsible for working closely with academic units to set the timetable for effective scheduling and room utilization. The incumbent provides functional guidance to academic schools related to the co-ordination of College Schedule data to ensure accuracy and timely completion.
Responsibilities
The incumbent is responsible for coordinating the data creation for all campuses by:
  • Interpreting and analyzing projected enrolments, integrated and split lab subject requirements and program combinations.
  • Providing functional guidance to academic schools related to the recording of course, student groups, faculty and room requirements.
  • Interpreting and analyzing each subject section, all subject restrictions, all faculty loadings, all faculty restrictions, all room requirements and any other information provided in order to meet the needs of each program being offered.
  • Creating and implementing the setup of all required databases on the TPHi System each semester by assessing and analyzing the needs of each program as specified above.
  • Ensuring that all validation reports are accurate before the scheduling process begins, is responsible for establishing sequence in which each campus will be scheduled as well as for the creation of schedules for all five (5) campuses by using the TPHi scheduling software.
  • Ensuring that the uploading of data to the online Student Information System from the TPHi System is accurate and within specified timelines.
  • Upgrading the scheduling databases by installing new TPHi programs, new files and any new database structures through AIS/Banner and, by using installation programs provided by Infosilem.
  • Reviews actual room space and furnishings inventory against the computer system inventory and publishes accurate, up to date inventories for distribution.
  • Maintaining the room inventory for all college locations on the online Student Registration system.
  • Generating statistical reports on room utilization for use in space and enrolment planning.
  • Reserving classrooms for various groups on a daily basis.
Qualifications
  • A 3 year diploma/degree in Computer Studies, Business Administration, Electronic Data Communication or related field.
  • Minimum of 5 years related or combined experience in Course Scheduling or Room booking.
  • Thorough understanding of the Infosilem Academic Suite (TPHi) or Enterprise scheduling system, as well as a good understanding of the AIS/Banner database.
  • Thorough knowledge and understanding of course sectioning.
  • Demonstrated analytical, problem-solving and decision-making skills.
  • Working knowledge of AIS/Banner, Windows, Microsoft Office and AisMartr. Ability to work independently or as part of the scheduling team as required.
  • Planning and organizational skills, as well as flexibility to shift priorities to meet deadlines.
  • Time management skills and a sense of urgency to meet ongoing, stringent deadlines.
  • Communication and listening skills to maintain positive working relations with the various academic areas as well as the rest of the registration and records staff.
  • Ability to interpret and apply college policies and practises where and whenever necessary.
