Reporting to the PMC Manager, we are looking for a collaborative self-starter to engage and support multiple stakeholders in educating, influencing and monitoring the adoption of the Project Management Centre standards to sustainably reduce project risks, improve quality of all projects and change the culture from activity driven to project focused.
This is a newly created opportunity to further the development of the collaborate with internal and external stakeholders on its execution. In support of the creation and implementation of a college-wide PMC for all departments and schools, the incumbent will carry out tasks to accomplish the PMC mandate including: providing templates, tools, guidelines as well as training with individuals leading a college project.
  • Keeps an up-to-date repository of projects underway and requests pending review in a project management software tool
  • Configures the software tool and updates the processes regarding the tracking of project requests of any type
  • Updates records correctly and completely or ensures the execution of it as assigned to the Data Entry Representative
  • Implements and maintains Project Management software
  • Learns administrator options for configuration and coordinates selected software
  • Leads in the selection of the software: compare-tests software and recommends based on comparison of gathered requirements
  • Develops and deliver presentations of the selected software, develops training material and provides training sessions /demos of the selected project management software to project leads in the College
  • Reviews software that can be used by the Project Management Centre to further its goals and support for projects across the College
  • Defines and updates College-wide project management processes, standards and governance
  • Develops and updates project templates and selects appropriate project management documentation examples
  • Develops and implements additional guidelines as needed, for example, scoring and prioritization models
  • Maintains up-to-date knowledge management repositories for relevant material
  • Manages existing relationships with stakeholders to promote the PMC’s services through participation on committees, attending events, making presentations
  • Conducts surveys to receive feedback from stakeholders and adjust PMC project tasks/actions if needed
  • Creates content/material to support change management and communication activities (e.g. organizational change management plan)
  • Takes minutes of meetings, updates action logs or risk register
  • Organizes the logistics of meetings such as Community of Practice, including catering, invitations, etc.
  • Other activities as required
  • Three (3) year diploma / degree in Business Management, Project Management or equivalent work experience plus a professional certification in Project Management.
  • Minimum five (5) years’ experience preferably in either a post-secondary institution or public sector organization within a customer service focused role supporting administration and department coordination. Demonstrated experience with stakeholder management is a must.
  • Knowledge and expertise in the use of Project Management, Project Management methodologies and Project Management tools, including related software
  • Ability to build relationships easily with a wide range of stakeholders to understand their current and future needs and concerns
  • Organized, able to prioritize workload to meet deadlines
  • Advanced computer skills using Microsoft Office (Word, Excel, PowerPoint, Access). Microsoft Project and Visio experience is an asset
  • Proven written and verbal communications skills; able to communicate information in a clear and engaging manner (active listening, effective questioning)
  • Proven critical thinking, analysis and problem-solving skills • Strong attention to detail and accuracy

Salary Range $34.01 to $39.41 per hour (Payband I)
