Position Summary

Applied Research Innovation and Entrepreneurship Services

(This position is initially open to full time, bargaining unit employees of the college)


Reporting to the Operations, Finance and Risk Manager, the incumbent is responsible for managing the financial activities of the Applied Research, Innovation and Entrepreneurship Services (ARIES) department. The incumbent manages all basic day-to-day financial operations for the department and acts as the first point of contact regarding all financial, operational and administrative matters.  The incumbent will help coordinate financial, administrative and operational activities with other departments including Human Resources/Payroll, Financial Services, Financial Planning, Corporate Planning, Informational Technology, Security, and the academic schools and departments.

  • Prepare, implement, execute, monitor, maintain and analyze department and ancillary budgets, accurately projecting revenues/expenses for the annual budget submission, quarterly reporting and six-month forecast and review
  • Maintain books and departmental financial records
  • Track and reconcile revenue and expenses to ensure that the department is meeting budget targets
  • Prepare reports for use by the Executive Director and the Operations, Finance and Risk Manager in regards to grant allocations, budget, and other presentations
  • Support financial plans and business analysis for new research opportunities
  • Support audit and financial reports for externally funded projects
  • Maintains a budget filing system for access and records-check by ARIES administrative staff
  • Provide the department’s management team with accurate and timely budget updates and reports on financial position
  • Prepare and submit all staff contracts (full time and non-full time), and support part-time contracts related to ancillary departments and special projects; adhering to all collective agreements and pay equity legislation, policy and procedures
  • Coordinate employee onboarding process, including: originating all necessary and appropriate access requests,  employee orientation, and payroll administrative processes
  • Monitor departments’ corporate purchasing (Visa) cards; verifying statement information and charges 
  • Manage cheque requisitions, travel expenses, professional development reimbursements and reimbursements for Pre-Approval Reports from staff
  • Complete monthly, quarterly and year-end reconciliation of all accounts
  • Track attendance for ARIES staff, absenteeism, sickness, vacation; records and reports appropriately and accurately
  • Verify leave accruals, especially for vacation requests
  • Regularly update the ARIES Business Continuity Plan in collaboration with the BCP Prime (i.e. the Manager, Finance, Operation and Risk)
  • Place and track fulfilment of orders for: equipment (staff computing devices, office and administration staff’s mobile telephones, meeting room AV, MFP) as well as related office supplies.
  • Plan and coordinate all travel for all ARIES staff for external conferences, for example, flights, hotels, registrations of event and through the College travel agency provider etc.
  • Provide excellent customer service to general and confidential inquiries, and frontline response for information requests, expense payments, event schedules, and selection and recruitment panels. 
  • Process all incoming and outgoing mail, including payroll documentation and memos
  • Other duties as assigned by Manager
  • Three (3) year diploma/degree in Accounting, Business Administration or equivalent combination of education and relevant work experience
  • Advanced knowledge of MS Excel and Access
  • Experience with AISMART and Cognos is an asset 
  • Minimum three (3) years of experience in general accounting and finance, including, but not limited to, budget, payroll and accounts payable/receivable as well as coordination with external departments/clients related to accounting activities
  • Ability to work with others on budget and financial matters in a collaborative and efficient manner
  • Ability to collect, analyze, and distribute statistical data
  • Ability to set priorities and work well under pressure with highly developed organizational skills, as well as analytical and problem-solving skills
  • Ability to manage deadlines, priorities, undertake financial projects, and to initiate appropriate actions as needed to maintain a financial environment
  • Proven written/verbal communication skills
  • Strong understanding working in a highly diverse work environment

Salary Range $26.57 to $30.81 per hour (Pay band F)
