Position Summary

Strategic Initiatives and External Relations (SIER)  


This position is initially open to full time, bargaining unit employees of the college


The SIER team is looking for a Department Assistant to support projects related administration of day-to-day activities for the Director, management team and department. Reporting to the Director, the successful incumbent will work in an open, inclusive workspace while assisting with tasks including project coordination, analysis and assessment of new and ongoing projects, research on funding opportunities, assist with project budgeting and coordinate external/internal meetings as required.


The office of Strategic Initiatives and External Relations (SIER) mandate is to leverage strategic opportunities to fulfill the vision, major strategies and initiatives of Centennial College and maintain Centennial’s position as a leader in post-secondary education.  As a service office to all areas of the college, SIER is a catalyst for building, developing and strengthening long-term relationships with key industry, academic and government stakeholders.


Projects lead by the SIER office that the Assistant will support include:

  • The development of the Downsview Aerospace Hub – including Centennial’s new Aerospace Campus (Phase I) and the creation of an Innovation Centre (Phase II)
  • Solv. (formerly referred to as the Signature Industry Experience) – Single point of contact for industry and external partners to connect with College-wide opportunities

  • Circle of Champions

  • Solv. Sector Sessions
  • Creation of a Clean Technology Facility
  • First point of contact for the department, which involves identifying/determining needs, clarifying information, responding to inquiries and resolving issues (verbally or in writing)
  • Liaises with a variety of internal/external high-profile stakeholders, (e.g. President, Vice Presidents, Associate Vice Presidents, Deans, Chairs, Coordinators, and student association as well as industry associations, different levels of government contacts, agencies and consultants)
  • Assist in department and project-based budget development/preparation/tracking, including tracking expenses and identifying areas of possible budget overruns
  • Responsible for creating purchase orders and processing payments for vendor/third-party services contracts
  • Research and consolidate information on new initiatives/events including identifying appropriate available resources for the project, e.g. funding, equipment, etc.
  • Organize high-level department and project related meetings including determining attendees’ availability; arranging venue, catering, required equipment, as well as taking meeting minutes
  • Coordinates event activities including calendar management, logistics, administration, stakeholder communication, timelines, vendor contracts etc
  • Manages schedule and calendar for the Director, management, and for team events
  • Maintain organized filing system for (both electronic and hard-copy) to ensure easy retrieval of required information
  • Creates and maintains databases for external/internal contacts
  • Other administrative duties as required 
  • Three (3) Year Diploma/Degree or equivalent combination of practical administrative experience and relevant education (e.g. Business Administration) 
  • Three (3) years’ administrative experience supporting an entrepreneurial team or department
  • Proven experience managing departmental operations and budgets including strong numeracy skills, tracking departmental expenses and processing contracts with internal/external vendors
  • Proven ability to coordinate and manage multiple projects with high aptitude to be flexible and adaptable in a fast-paced, changing environment.
  • Proven relationship management skills with ability to collaborate with team, stakeholders including high profile external partners/agencies
  • Demonstrated analytical, problem solving and judgment skills
  • Proven experience with Microsoft Word, Excel and PowerPoint
  • Proactive self-starter with high initiative and proven independence of action
  • High attention to detail and accuracy
  • Excellent communications skills (verbal and written)
  • Experience working in a highly diverse educational environment preferred
  • Comfortable working in a shared and open office space with limited privacy (communal working area)

Salary Range Payband F ($26.57 to $30.81)
