Position Summary
Centre for Academic English
Temporary Contract (July 2018-November 2019)
Reporting to the Manager of the Centre for Academic English, the Incumbent provides administrative support to the Manager and tutors of the Centre for Academic English including, but not limited to: customer service, including responding to phone calls and emails, scheduling and coordinating tutoring and workshop sessions, coordinating and scheduling PASS (placement advice for student success) advisors, attending College events, i.e. service fairs, overseeing office supply inventory and academic resources and maintaining website information at all four campuses of Centennial College.
  • Provides quality customer service to students, staff and visitors by responding professionally to in-person, phone and email inquiries
  • Gather tutor availability, develop preliminary schedules, and input finalized scheduling information for tutoring sessions, workshops and various other services offered by the Centre for Academic English (CAE) into the online booking system (WCOline)
  • Guides students and tutors on how to navigate through the online booking system by providing step-by-step instructions
  • Troubleshoots booking/scheduling discrepancies including double bookings and booking errors
  • Assists and attends Orientation and Service Fair activities including organizing of promotional marketing materials
  • Assists tutors in the curation of resource materials in print and digital
  • Using the College CMS (Umbraco) maintains and updates website content in a timely manner ensuring accuracy and relevance of information
  • Providing information on PASS (Placement Advice for Student Success) to current applicants and PASS advisors, including, but not limited to: answering prospective students’ inquiries regarding assessment test results via phone and email, production and maintenance of PASS documents, triage students to appropriate college services, as needed
  • Ensures adequate inventory levels are maintained for office supplies and academic resources
  • Makes class visits at the beginning of each semester to highlight the services offered by CAE
  • Perform other duties as assigned
  • Two-year diploma in Office Administration or an equivalent combination of relevant education and practical experience
  • Minimum two years of practical experience in a high volume customer care environment with the ability to troubleshoot and triage quickly and efficiently
  • Commitment to maintaining appropriate standards of confidentiality and security of assessment/ testing materials with the ability to adhere to policies and procedures
  • Demonstrated high level of proficiency in MS Office Suites, Outlook or similar e-mail communication systems
  • Good understanding of relational databases, experience using integrated student information databases (i.e. Banner) considered an asset
  • Excellent customer services skills with the ability to work as a member of a client-focused team; providing quality customer service over the telephone, at the service counter and via email
  • Flexibility to meet the needs of a fast-paced department with the ability to work well under pressure
  • Proven organizational skills to balance the details and demands of the position; while balancing the demands of time sensitive tasks
  • Knowledge and understanding of working effectively in a diverse environment with an awareness and sensitivity to the requirements of our diverse student population

Salary Range $24.63 to $ 28.55 per hour (Payband E)
